Sending Invoices to Sage Accounting

Connect TempClock to Sage Accounting (Sage's UK cloud accounting product) so weekly client invoices go in through Sage's API and their paid status comes back.

Overview

Invoices by API, payroll by file.

The Sage Accounting page connects your Sage Accounting business to TempClock. Once connected, each weekly client invoice from the charge schedule becomes one Sage sales invoice, sent through Sage's API. Sending the same invoice again never makes a second copy, and every few hours TempClock reads back whether each invoice is unpaid, part paid, paid or void.

The agency connects its own Sage on the agency console. A client that keeps its own books can connect its own Sage from the client dashboard (tenant admins only).

Note

This is for Sage Accounting (cloud), formerly Sage Business Cloud Accounting. Sage 50 Accounts (desktop) has no API: use the Sage 50 CSV from the charge schedule instead. Payroll always goes by the Sage payroll file.

Important

A Send to Sage button on the charge schedule screen is being added. Until it is in your system, use the Sage 50 or Xero CSV from the charge schedule, or raise a support ticket and we will help.

Step 1: Register a Sage App

Done once, by an administrator.

Open Sage Accounting in TempClock

Go to /admin/sage_cloud.php on your TempClock address (client dashboard: /manage/sage_cloud.php). The page has three tabs: Connection, Customers and Invoices sent.

Create the app at Sage

Sign in to Sage Developer Self Service and create an app. Register the Callback URL shown on the TempClock page on that app.

Paste the client ID and secret

Copy the app's client ID and secret into Client ID and Client secret and click Save app settings. They are stored encrypted.

Step 2: Connect and Choose a Business

Sign in to Sage once.

Click Connect to Sage, sign in with your Sage user and allow access. Back in TempClock, choose the Sage business invoices should go to and click Use this business. The sign-in renews itself each time TempClock talks to Sage; if it ever expires, the page shows Sign-in expired and a Sign in to Sage again button. Use Check connection at any time.

Step 3: Invoice Defaults

Ledger account, VAT and terms.

Under Invoice defaults choose the Sales ledger account, VAT rate and Payment terms (days), then Save defaults. If a site has a nominal code in its billing details (Locations page), TempClock picks the matching Sage sales account for that site first. TempClock sends the VAT amount on every line, so Sage books the VAT you expect.

Step 4: Link Customers

Each site or client to a Sage customer.

On the Customers tab, each client and site is listed with its reference (for example TCS00042 for site 42). Click Create in Sage to make the customer (TempClock first looks for one with the same reference, so it never makes a duplicate) or link an Existing Sage customer. Each invoice goes to the site's Sage customer, or the client's when the site has none.

Invoices Sent

What went, and whether it is paid.

The Invoices sent tab lists every invoice with its TempClock reference, the Sage invoice number, the Sage status, total and outstanding amount. If Sage was busy or unreachable, the invoice waits and is retried automatically; you can also click Retry now. Every connection change, customer link, invoice and status change is in the audit log.

What It Does Not Do

Plainly.

It does not send payroll. Sage has no API for UK payroll, so pay goes through the Close week file.
It does not reach Sage 50 or Sage 200 desktop products.
It does not pull customers or payments into TempClock beyond the invoice status.
