Portal Timesheets & Approvals

How client portal users check, approve, reject, query or propose changes to the hours worked at their sites, on a computer or a phone.

Overview

For your client's supervisors and approvers.

The portal Timesheets page shows the shifts worked at the sites the portal user is allowed to see, with the hours and the charge. Pay rates are never shown. Every action the client takes is recorded with their name and the time, and the agency is told straight away about rejections, queries and proposed changes.

Viewing Hours

Filter to the week and site you need.

Use From, To, Worker, Site and Approval to filter, then Filter. The summary shows shifts, billable hours, workers, how many are pending approval and the charges. Export CSV downloads the list. On a phone the page shows one card per shift.

Approving

One shift, a selection, or everything pending.

Click Approve on a shift to approve it.
Tick several shifts and click Approve selected.
Click Approve all pending to approve everything waiting in the current view. On a phone you tap twice to confirm.
Important

If the agency has made your approval a payroll requirement, shifts you have not approved are not paid until you approve them. Approve before the pay-week cut-off your agency gives you.

Rejecting

When a shift should not be charged.

Click Reject (or tick shifts and Reject selected) and give a reason; the reason is required. The shift shows "Rejected" with your reason, the agency is notified, and the shift stays out of pay until it is corrected and approved again.

Proposing New Times

When the times are wrong.

Click Amend

On the shift, click Amend to open Propose new times.

Enter the times and a reason

Enter the correct clock-in, clock-out and break, and why. Click Send amendment.

Wait for the agency

The shift shows Amendment pending. The agency accepts or declines it; either way you are told, and an accepted change updates the shift with the reason "Client request".

Raising a Query

When you need to ask about a shift.

Click Query, choose Raise a query, write your question and click Send query. The shift shows "Query sent" until the agency resolves it, and then the resolution. A shift with an open query cannot go into a closed pay week until it is resolved.

Who Can Do What

Set by the agency for each portal user.

Role Can
Approver Approve, reject, query and propose changes; request workers; see charges.
Supervisor Raise queries and request workers. Cannot approve or see charges.
Viewer Look at timesheets and attendance. Cannot change anything.

Each portal user can also be limited to named sites, so they only see and approve the hours worked there.
