Manual Clock In & Out

Learn how to manually clock workers in and out when the kiosk is unavailable, a worker forgot, or for remote workers who are not on-site.

Before You Start

What you need to create a manual clock entry.

Before you start

  • Access to the TempClock manage portal (/manage)
  • Permission to create manual entries (Admin or Manager role)
  • The worker's name and the location they worked at
  • The actual clock-in and clock-out times
  • A reason for the correction, and a short note of what happened
Note

Manual entries are flagged differently from kiosk entries. They show up with a "Manual" method tag so you can always tell them apart from automatic clock-ins.

When Should You Use Manual Clock In/Out?

Common situations where manual entries are needed.

The kiosk handles clock-ins and clock-outs automatically in most cases. However, there are times when you need to create an entry manually:

Kiosk is down

The kiosk had a technical issue, lost power, or lost internet connectivity during a shift

Worker forgot

A worker forgot to clock in when they arrived or forgot to clock out when they left

Remote workers

Workers based off-site or travelling who cannot access a kiosk

Retrospective entry

You need to add a historical entry that was missed, such as from a previous day

Tip

If a worker regularly forgets to clock in, consider setting up a reminder. Frequent manual entries can make audit reports harder to review.

Open the client dashboard

Log in to your TempClock client dashboard (/manage).

Open Manual clock

Go to Time & Pay > Manual clock. The page has two forms side by side: Clock a Worker In and Clock a Worker Out. Below them is Edit or Delete Time Entries.

Clocking a Worker In and Out

Two separate forms. Both need a reason.

A manual shift is made in two parts. First you clock the worker in. Then, when you know the finish time, you clock them out by picking their open entry. Every manual clock-in and clock-out needs a Reason and a note of What happened. TempClock will not save the change without them.

Clock a Worker In

Select the worker

Pick the worker from the Worker dropdown. Workers are listed by name and employee ID.

Select the location

Choose the Location where they worked.

Enter the clock-in time

Set Clock In Time to the date and time they actually started. It defaults to now, so change it for a past shift.

Give a reason and say what happened

Choose a Reason (for example Forgot to clock in, or Kiosk or device fault) and type a short note in What happened, such as “Kiosk offline, supervisor confirmed start time”.

Click Clock In

Click Clock In. The worker now has an open entry. TempClock refuses the entry if the worker already has an open clock-in that day, if it overlaps another shift, or if the week is locked.

Clock a Worker Out

Pick the open entry

In Open Entry to Close, choose the worker’s open clock-in. Only entries that have not been clocked out are listed.

Enter the clock-out time

Set Clock Out Time to the date and time they actually finished.

Give a reason and say what happened

Choose a Reason (for example Forgot to clock out) and fill in What happened.

Click Clock Out

Click Clock Out. The shift is closed and appears on the Timesheets page. If your agency requires a second person to approve time corrections, the clock-out is sent for approval first and applied once approved.

Tip

Until you clock the worker out, the entry stays open and shows as Active on the Timesheets page.

Verifying the Entry

Check that the manual entry was created correctly.

Go to Timesheets

Navigate to Timesheets in the sidebar and filter by the worker and date you just entered. You should see your new entry in the list.

Check the Method column

Manual entries are clearly labelled. On the entry page, the Method field will show Manual instead of “Facial Recognition” or “PIN”. There will be no match score since the kiosk camera was not used.

Audit Tracking for Manual Entries

How manual entries are recorded for accountability.

Every manual entry is recorded in the audit trail with full details of who created it and when. This gives you and your clients complete transparency over any entries that were not captured by the kiosk.

The method is set to “Manual” so it is clearly distinguishable
The reason and what happened note are saved with the change
The entry note is stamped with the name of the person who made it and when
The audit log records the before and after values for every manual clock-in, clock-out and delete
