Inviting Your Team
Add managers, supervisors, and other staff so they can help manage your TempClock account.
Before You Start
Have these details ready for each person you want to add.
Before you start
- A TempClock account with Admin access (the account creator is automatically an Admin)
- The email address of each person you want to add
- Their full name
- An idea of what level of access they need (see Roles below)
Only Admin users can add new team members. If you are a Manager or Viewer, ask your Admin to add new users.
Understanding Roles
TempClock has three roles, each with a different level of access.
Every user you add gets assigned a role. The role controls what they can see and do in the manage portal. Here is what each role can do:
Full control over everything, billing, users, settings, data. Only give this to people who need to manage the account itself.
Can handle day-to-day operations, workers, timesheets, shifts, and reports. Cannot change billing or add users.
Can see everything but cannot change anything. Perfect for people who just need to check reports or monitor activity.
You can change someone's role at any time. If you are unsure, start with Viewer and upgrade later if they need more access.
Log in to the client dashboard
Go to tempclock.com/manage and sign in with your Admin account.
Open Setup > Users
In the menu, open Setup and click Users. The Add New User form is at the top, and below it is a list of everyone who can sign in to the dashboard, starting with your own account.
Adding a New User
Fill in the Add New User form and set a password.
Enter their name
In the Add New User form, type their first name and surname. This is how they appear in the system, for example in the audit log and against timesheets they approve.
Enter their email address
Type their work email address. This is what they use to sign in.
Set a password
Type a password for them, at least 8 characters. You will share it with them in the next section.
Choose their role
Select Admin, Manager, or Viewer from the Role dropdown. See the section above if you are not sure which to choose.
Click Add User
Click Add User. The account is created straight away and they can sign in with the email and password you set. TempClock does not send them an email.
Sharing the Password
Tell them how to sign in, safely.
Because TempClock does not send an invitation, you pass on the sign-in details yourself:
Send them the login address
Tell them to sign in at tempclock.com/manage with their work email.
Share the password separately
Give them the password by a different route from the login address, for example by phone or in person. Never put the email address and password in the same message.
If they forget it
If they forget their password, an admin sets a new one with the Password button next to their name, then passes it on the same way.
Setting a new password with the Password button signs that person out of every other device, so it is also the quickest way to cut off a login you think has been shared.
Who Gets Which Role?
Practical advice on assigning the right role to each person.
Not sure which role to give someone? Here are some common scenarios:
Admin: They handle billing, manage the account, and need full access to everything. If they run the day-to-day operations of your agency, they need Admin.
Manager: They oversee workers at a location, approve timesheets, and manage shifts. They do not need access to billing or user management.
Admin: closing the pay week and the Sage export need the Admin role on the client dashboard. On the agency console, use the Payroll preset instead.
Admin: They want oversight of everything and may need to manage billing. Admin gives them complete visibility and control.
Client portal: give your end clients a portal login (Approver, Supervisor or Viewer) rather than a dashboard account. See Portal Users.
Manager: They need to add and manage workers, assign them to locations, and check availability, but do not need billing access.
When in doubt, start with Viewer. It is much safer to upgrade someone's access later than to give them too much access from the start. You can change roles at any time from the Users page.
Managing Existing Users
Changing roles, resetting passwords, and removing access.
After you have added users, you can manage them from Setup > Users at any time:
Click Role next to their name, pick the new role and click Save. The change takes effect immediately. You cannot change your own role.
Click Password, type a new password (at least 8 characters) and click Reset. They are signed out of their other devices.
If they use two-factor sign-in and have lost their authenticator, click Reset 2FA. They set it up again at their next sign-in.
Click Deactivate. They can no longer sign in. Click Activate to restore access. The primary account holder cannot be deactivated.
Everything a user changes is recorded in Setup > Audit log.
Deactivating a user does not delete timesheets they approved or changes they made. Everything stays in the audit log. You are simply revoking their future access.
Need to give your end clients access to approve or view their timesheets? Head to Setup > Portal users to create portal logins. Portal users are separate from your internal team, they log in through a different URL and can only see data related to their own client account. See the Creating Portal Users guide for details.
